How to Add a Stamp or Seal to an Excel File Online

How to add a company stamp or seal to an Excel file: step-by-step guide with transparent background, invoice and price list examples. No Microsoft Office required.

Excel is the daily workhorse for accounting, sales, and procurement teams. Price lists, invoices, quotes, budgets, and SOW line items all live in XLSX. When a workbook is ready to go out to a client or lender, it often needs a company stamp and the signature of an officer — without blowing up the table layout. Excel’s built-in image tools are not built for this. Here is how to add a stamp or seal to an Excel file online in about a minute, and what to watch out for.

When an Excel file actually needs a stamp

The most common scenario is an invoice exported from QuickBooks, Xero, or an ERP as XLSX. In the US, invoices do not legally require a seal — but many enterprise AP departments, SBA lenders, and international clients still expect one, especially when working with LLCs and S-corps that have a company seal on file.

The second scenario is a formal quote or proposal generated from an Excel template. A stamp or embossed seal signals that the proposal is official and authorized, not a draft floating around sales. Third — internal expense reports, timesheets, and reconciliation statements that need to be approved by a controller or manager before they go to finance.

Why Excel’s built-in image insert falls short

Microsoft Excel does let you drop an image via Insert → Pictures, but using that workflow for a stamp is painful.

  • A photo of a stamp on paper keeps its white rectangle — you need Photoshop or a background remover first
  • Changing column widths or zoom moves the image off the signature line and over the numbers
  • You need a Microsoft 365 license ($70–$100/year) or a one-time Office install
  • Aligning the stamp relative to the signature takes trial and error
  • When you export to PDF, the stamp often shifts by a millimeter or two
  • There is no way to save a stamp library — every new workbook starts from scratch

The alternative is a browser-based tool that accepts XLSX, treats the stamp as a layer, and returns a clean PDF with the seal and signature baked in. No Office install, no hunting through a folder for the transparent-background PNG.

How to stamp an Excel file online in 3 steps

Step 1. Upload the workbook. Drag the XLSX into the browser or click "Choose file." Stampsig parses the file and displays it with formatting preserved — column widths, number formats, fonts, and merged cells.

Step 2. Add your stamp. Click "Stamp" in the sidebar and pick one of three options: a saved stamp from your account, a photo from disk (the white background is removed automatically), or a design from the online stamp builder. Drag it to the right spot — typically above the "Authorized Signature" line at the bottom-right of the sheet.

Step 3. Add your signature and export. Place the authorized signature next to the stamp — usually with slight overlap, matching how a rubber stamp would sit over a pen signature on paper. Click "Save" and the tool returns a finalized PDF with the stamp and signature flattened into the page. No separate conversion step.

Working with multi-sheet workbooks

An Excel workbook can have 10–20 sheets: Summary, Line Items, Price List, Terms, Exhibit A. Stamping each one manually is tedious. The "Apply to all sheets" function lets you stamp one reference sheet and push that placement to every tab in the workbook — the seal appears in the same cell range on each sheet.

For workbooks where sheets have different layouts (a "Totals" tab versus "Appendices"), configure positions per sheet. The tool remembers your choice and reapplies it when you open a similarly-shaped workbook again.

Stamping an invoice: where to place it

The conventional placement is the bottom-right of the invoice, next to the "Authorized by" or "For [Company Name]" line. The stamp overlaps the signature by 20–30% — this mirrors how an embossed or rubber seal would be physically applied over the ink signature.

  • The stamp covers 20–30% of the signature, with the rest visible
  • A typical round seal is about 1.5 inches across; a signature runs about 2 inches wide
  • Leave 3–5 mm between the printed name line and the actual signature
  • Do not cover the total amount, invoice number, or remit-to address — readability wins
  • LLCs without a physical seal can use a facsimile signature alone; add "Seal not required per state of formation" if asked

Why the output is PDF, not XLSX

Stampsig always returns the stamped file as a PDF. The seal and signature are flattened into the page and cannot be accidentally moved when the recipient recalculates a cell or resizes a column. PDF opens identically on any device and does not require the recipient to have Excel installed.

If you still need to edit the spreadsheet after stamping, keep a copy of the original XLSX before you upload. Stampsig does not modify your source file — it generates a new PDF.

Signature plus stamp: the standard pairing

A stamp without a signature is rare. Usually Excel documents need both: the officer or authorized signer’s signature plus the company seal. In the online editor you can add a signature to Excel the same way: pick it from your saved library, place it above the name line, and drop the stamp next to it. Both take about 30 seconds.

Frequently asked questions

Do I need Microsoft Office to add a stamp to an Excel file?
No. Stampsig accepts XLSX and XLS files and runs entirely in the browser — Chrome, Safari, Firefox, or Edge.
What format do I get back?
A PDF. You upload an XLSX, Stampsig re-renders the workbook with the stamp and signature flattened in, and returns a finalized PDF — no separate conversion step.
Is the spreadsheet formatting preserved in the PDF?
Yes. Column widths, formulas, cell formats, and merged cells carry over unchanged. The stamp and signature sit on top of the layout and are flattened into the page on export.
How does the automatic background removal work?
The tool detects the white background in your uploaded photo and makes it transparent. It works best with dark ink (black or blue) on white paper. For edge cases there is a manual threshold slider to fine-tune.
Can I stamp every sheet in the workbook with one click?
Yes — use "Apply to all sheets." The stamp appears in the same position on every tab, which saves a huge amount of time on price lists with 10+ category sheets.
What is the difference between a stamp and a seal?
In US practice the terms are often interchangeable. A corporate seal typically has the company name, state of formation, and year of incorporation. A rubber stamp can be any design — "APPROVED," "PAID," a department stamp, or a facsimile signature. Both live in the same stamp library.
